Overview & Responsibilities

We are seeking a highly organized and detail-oriented Contract Administrator to join our team in Abu Dhabi, United Arab Emirates.

Reporting directly to the Supervisor of Contract Administration and working closely with Operations, Sales, Finance, Logistics, and Field Service Engineers, the ideal candidate will oversee the administrative, contractual, and commercial aspects of field service projects.

Your responsibility will span from the initial RFQ (request for quotation) to order acknowledgement and final invoicing, ensuring accurate documentation, strict policy compliance, and efficient execution throughout.

Key Responsibilities

  • Quotation Support: Log and review incoming customer inquiries and prepare accurate quotations to support the Service Sales team.

  • Order Management: Verify and acknowledge customer orders to ensure total accuracy and alignment with both the original quotations and company policies.

  • Field Coordination: Partner closely with field service teams to facilitate project scheduling and successful execution.

  • Performance Monitoring: Monitor contract performance regularly to ensure all deliverables are met according to established agreements.

  • Records Retention: Maintain highly accurate project documentation and manage long-term service contract files.

  • Financial Facilitation: Facilitate both internal and external invoicing processes, and assist the Finance department with the collection process.

  • Engineering & Technical Support: Provide critical support to the engineering team regarding claims handling, warranty requirements, and project cost evaluations.

Required Skills and Qualifications

  • Commercial Expertise: Strong commercial acumen paired with robust contract administration and documentation skills.

  • Communication: Excellent written and oral communication skills.

  • Language Proficiency: Fluency in English is required. Additional language skills in Spanish, French, Italian, or German will be considered an advantage.

  • Time Management: Strong organizational skills with a proven ability to handle multiple tasks and meet tight deadlines simultaneously.

  • Collaboration: Ability to work effectively and cohesively with cross-functional teams.

  • Software Skills: Proficiency in the Microsoft Office Suite (specifically Excel and Word ).

  • Preferred Assets: Prior field service operational experience and a deep understanding of legal and commercial contractual principles will be considered a significant advantage .

Location & Schedule

  • Base Location: KEZAD Freezone, Abu Dhabi, UAE

  • Work Schedule: Full-Time; Monday – Friday, based on-site from the office.
