RESPONSIBILITIES
KEY ACCOUNTABILITIES:
• Maintain document control systems, ensuring documents are reviewed, approved, distributed, archived, and easily retrievable.
• Coordinate with internal teams, vendors, and clients to ensure timely, accurate documentation and effective information sharing.
• Manage ERP purchase requisitions (PRs) and track, transmit, and file electronic documents, drawings, and correspondence.
• Establish and monitor document control procedures, goals, specifications, and KPIs.
• Create, update, and maintain project deliverable registers, ensuring quality assurance of all outgoing deliverables.
• Manage project documentation, including contracts, financial records, handover packages, and transition documents, ensuring proper tracking and storage.
• Maintain project-specific file transfer platforms, assign document numbers and revisions, and support workflow efficiency across multiple offices.
• Ensure documentation is accurate, up-to-date, approved, and compliant with company policies, contractual obligations, and quality standards.
• Develop and maintain filing systems, databases, reports, schedules, budgets, cost-tracking records, and other project documentation.
• Support project closeout, transition to operations, TOF documentation processes, and continuous improvement through best practices and ad-hoc reporting.
QUALIFICATIONS
QUALIFICATIONS & COMPETENCIES:
• Minimum 5 years of experience in document control, with 2–3 years of project or data center experience preferred.
• Proficiency in document management systems (DMS), Microsoft Office, DocuSign, Aconex, and other project management software.
• Strong analytical and problem-solving skills, with the ability to identify and resolve document control risks and process bottlenecks.
• Excellent verbal and written communication skills, with the ability to manage information effectively and collaborate across teams.
• Highly organized, detail-oriented, and capable of managing multiple priorities independently with minimal supervision.
• Demonstrated leadership in document management processes, with a commitment to maintaining logical, consistent workflows, timely communication, and strong teamwork.
