Job Purpose
Responsible to ensure that all technical work related documents in the Operations department are accurately recorded and filed to ensure that they can found when required.
Job Responsibilities
Education - Diploma or Bachelor degree holder.
Experience - 3 years of experience in a similar role.
Responsible to ensure that all technical work related documents in the Operations department are accurately recorded and filed to ensure that they can found when required.
Job Responsibilities
- Files the documents and maintains the integrity of all files by ensuring that documents are not missing.
- Process all documentation received in accordance with prescribed matrices within agreed timescales.
- Maintaining and registering of incoming and outgoing Change Notices and Site queries, in accordance with agreed processes.
- Processes vendor documents in accordance to internal procedures.
- Accurately updates documents (including technical document, PO etc.) related to Operations Department in the electronic document management system to ensure that updated documentations are in place.
- Maintaining Document Control Database, to ensure that all documents are accurately record and their locations known.
- Prepares regular reports for management review detailing the performance metrics of the department.
- Consolidates reports for Operations Manager required.
- Register and receive the invoices from the suppliers for further process according to procurement and finance procedures.
- Replenish and control petty cash requirements as per company policies and procedures.
- Covering the Help Desk Coordinator responsibilities as required.
- Perform other duties as assigned by the Direct Manager.
Education - Diploma or Bachelor degree holder.
Experience - 3 years of experience in a similar role.
