Job Purpose

The Events Specialist will be responsible for the end-to-end delivery of all events, exhibitions and activities within assigned regions/EK Group business units, ensuring alignment to event requirements in terms of objectives, deadlines and budget. Work closely with internal stakeholders and agency partners and maintain oversight of administrative and logistical components and resources required to successfully deliver events in line with market, regional or global briefs and campaigns.

The Events Specialist will be responsible for the end-to-end delivery of all events, exhibitions and activities within assigned regions/EK Group business units, ensuring alignment to event requirements in terms of objectives, deadlines and budget. Work closely with internal stakeholders and agency partners and maintain oversight of administrative and logistical components and resources required to successfully deliver events in line with market, regional or global briefs and campaigns.
In This Role You Will
- Ensure the successful delivery of events and various event deliverables (including invitation design, registration, invoicing, branding materials, ticket allocation, booking cabin crew, and logistics) based on the requirements outlined in the approved project brief. Maintain close alignment with the Manager of Marketing Communications (MMC) and the overall Marketing Operations plan.
- Liaise with internal specialist units, departments, and external vendors and suppliers to ensure accuracy, quality, and timely delivery of services. Define and source necessary resources (internal or external) to ensure successful event delivery.
- Maintain documented budgets, focusing on cost management, and recommend cost-saving measures without compromising brand quality and final event output.
- Ensure event projects and activities meet agreed Service Level Agreements, brand standards, and maintain a consistent approach and quality across all projects, including the quality of produced materials and event elements. Share best practice guidelines with the wider Events team to ensure quality and consistency.
- Oversee and manage the successful delivery of tasks delegated to internal or external support teams (e.g., Admin team, external agencies), escalating any risks as appropriate and ensuring proper documentation.
- Advise, guide, and support outstations or business units prior to any event to establish local requirements and expectations, and ensure compliance with corporate strategy and image.
- Handle and support event logistics, such as booking cabin crew, flight tickets, hotel accommodations, ground transfers, and overseeing any on-site resources, including hostesses at registration.
- Ensure all projects are thoroughly documented and saved in a shared OneDrive for easy access and retrieval, and conduct pre- and post-event evaluations with the Event Manager and relevant stakeholders.
To be successful in this role, you must meet the below requirements:
- 5+ years experience in Marketing & Media Communication.
- Degree preferably in Marketing or equivalent or in a relevant field.
- Experience in Marketing management in a multinational company handling events.
- Ability to adapt and work well under pressure in order to manage high volumes and tight deadlines.
- Strong project management and organisational skills, with the ability to simultaneously manage a variety of issues and prioritise objectively.
- Supervisory skills are also required in order to effectively organise suppliers and resources during an event to get the best results.
