We are seeking a highly organized and detail-oriented Project Coordinator to join our growing team. The ideal candidate will play a key role in supporting project planning, execution, reporting, and stakeholder coordination across multiple hospitality and lifestyle projects. This position requires strong organizational skills, financial tracking capabilities, and the ability to manage multiple priorities in a fast-paced environment.

We are seeking a highly organized and detail-oriented Project Coordinator to join our growing team. The ideal candidate will play a key role in supporting project planning, execution, reporting, and stakeholder coordination across multiple hospitality and lifestyle projects. This position requires strong organizational skills, financial tracking capabilities, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Project Planning & Scheduling
- Assist in developing project plans, timelines, and action plans.
- Track project progress against milestones and deadlines.
- Coordinate project activities to ensure timely delivery of objectives.
- Monitor project schedules and proactively escalate delays or concerns.
- Coordinate the availability and allocation of project resources, including personnel, equipment, and software.
- Ensure project teams have the necessary tools and support to execute tasks effectively.
- Assist in managing resource utilization and workload planning.
- Organize and coordinate project meetings, workshops, and status reviews.
- Prepare presentations, meeting agendas, and minutes.
- Provide regular project updates to stakeholders and leadership teams.
- Facilitate communication between departments, vendors, and project teams.
- Maintain accurate project documentation and records.
- Prepare project status reports, dashboards, and performance updates.
- Archive completed project documentation in accordance with company standards.
- Ensure documentation is compliant, up to date, and easily accessible.
- Identify potential project risks and operational challenges.
- Maintain project risk and issue registers.
- Support the development and implementation of mitigation and contingency plans.
- Follow up on action items and ensure timely resolution of project issues.
- Provide day-to-day project administration support.
- Track project budgets, payments, invoices, and financial status.
- Assist with procurement coordination and vendor communications.
- Manage scheduling, correspondence, and project-related data entry.
- Bachelor's Degree in Business Administration, Project Management, Hospitality Management, or a related field.
- Minimum 5 years of experience in project coordination, project administration, or a similar role.
- Previous experience within the hospitality, F&B, lifestyle, or entertainment industry is essential.
- Strong understanding of project management methodologies and best practices.
- Excellent organizational and multitasking skills with the ability to manage multiple projects simultaneously.
- Strong financial tracking and budget monitoring capabilities.
- Excellent verbal and written communication skills.
- Experience with Primavera is considered a strong advantage.
- Strong problem-solving skills and ability to take prompt action when challenges arise.
- High attention to detail and commitment to accuracy.
- Ability to work collaboratively across cross-functional teams in a fast-paced environment.
