The Project Specialist plays a pivotal role in supporting the Project Manager by coordinating project activities, maintaining governance standards, and ensuring precise tracking, reporting, and communication across all project workstreams. This position is essential for the successful execution of Center of Excellence projects within the Aviation & Aero Engine MRO division, utilizing structured project management practices and tools such as Microsoft Project.
The specialist is responsible for preserving the integrity of project schedules, dependencies, milestones, dashboards, and governance documentation throughout the project lifecycle. Additionally, this role ensures that approved project management methodologies are consistently applied, including project planning, governance, controls, reporting, documentation, risk and issue tracking, and escalation procedures. The role also supports governance activities such as meeting management, dashboard preparation, stakeholder communication, procurement follow-up, and maintaining project records in alignment with organizational standards.
Your Responsibilities- Project Workstream Coordination: Coordinate and monitor all project workstreams and team activities to align with objectives, timelines, milestones, and deliverables, ensuring adherence to approved methodologies and escalating deviations or delays.
- Schedule Management: Develop and maintain the integrated project schedule using Microsoft Project, ensuring accuracy, baseline integrity, milestone tracking, and dependency management.
- Governance Reporting: Prepare comprehensive governance materials including dashboards, status reports, presentations, and management updates to support steering committees and management reviews.
- Cross-functional Communication: Facilitate coordination among project stakeholders, organize meetings, prepare agendas and minutes, and ensure timely follow-up on actions and decisions.
- Documentation and Compliance: Maintain centralized project records and documentation, supporting audit readiness and ensuring compliance with project controls and governance standards.
- Risk, Issue and Change Tracking: Maintain risk and issue registers, track mitigation actions, support identification of blockers and dependencies, and escalate critical items as necessary.
- Procurement and Vendor Coordination: Support procurement-related documentation and vendor coordination activities, liaising with finance, procurement, IT, and operations to facilitate smooth project execution.
We seek a dedicated Project Specialist with a Bachelor's degree in Engineering, Project Management, Business Administration, or a related technical field. Project management certification or coursework, such as PMP, CAPM, PRINCE2 Foundation, or Microsoft Project training, is preferred.
The ideal candidate will have a minimum of 3 years' experience in project coordination, PMO support, or project controls within a structured project management environment. Proficiency in Microsoft Project, Planner, Excel dashboards, and other project tracking tools is essential. Strong skills in coordinating cross-functional teams, managing project schedules, governance reporting, risk and issue tracking, and stakeholder communication are required.

Experience in procurement and vendor coordination support is a plus.
