How you will add value?

  • Acts as a key administrative support resource, demonstrating strong organizational skills, sound judgment, and a professional approach in supporting the Head of Research, TGI, and the broader department.
  • Manages end-to-end calendar coordination, including scheduling, prioritization, and alignment of meetings across internal and external stakeholders.
  • Assists in the preparation of meeting materials, including collating, downloading, formatting, and organizing relevant documents and presentations in advance.
  • Maintains and updates contact databases, including corporates, brokers, and vendors, ensuring accuracy and accessibility.
  • Manages telephone and email communications in a professional, prompt, and effective manner, acting as a liaison with internal and external stakeholders.
  • Coordinates visitor arrangements and meeting logistics, ensuring a seamless and professional experience.
  • Oversees incoming and outgoing courier services and mail distribution while maintaining accurate records.
  • Monitors and coordinates access and attendance logs for external vendors and service providers, including maintenance and facility support teams.
  • Maintains accurate administrative records, including correspondence, schedules, vendor information, and employee details.
  • Liaises with building management regarding maintenance requests and common area matters, communicating updates and impacts to employees as required.
  • Processes invoices, expenses, and related administrative documentation in an accurate and timely manner.
  • Supports onboarding logistics for new joiners, including coordination with IT and HR for workspace setup, system access, and induction requirements.
  • Provides end-to-end coordination of business travel arrangements for the TGI department.
  • Coordinates office events and meetings, managing logistics, vendor coordination, and administrative requirements
