Job Purpose
As the Sponsorships Officer and a member of the Conference Management Center team, you are expected to assist in the development of sponsorship plans, securing funding for various events, and implementing strategies that will help the University of Sharjah achieve its goals by managing the sponsorship process, from identifying potential sponsors that align with UOS's goals and values to executing sponsorship agreements and partnerships with suitable national and international entities.
Main accountabilities & expectations
1. Review and understand all relevant UOS policies and procedures in order to be able to carry out daily work tasks as accurately and efficiently.
2. Conduct in-depth market research, competitive analysis (including benchmarking competitor sponsorships), and audience identification to strategically target and prioritize potential national and international sponsors who align with the University's objectives and maximize event value and exposure.
3. Actively engage with internal and external conference delegates, speakers, and industry partners to expand the professional network and stay current with sponsorship best practices, trends, and innovative engagement opportunities.
4. Collaborate closely with the Marketing Officer to assist in the development of targeted communication plans and create compelling, high-quality sales materials (e.g., proposals, presentations, and digital content) that clearly articulate the unique value and benefits of each sponsorship package.
5. Execute the proactive sponsorship outreach strategy by initiating contact, conducting discovery meetings, and presenting tailored proposals to prospective sponsors to build early relationships and effectively negotiate commitment and package terms.
6. Assist the Head of Section in developing detailed event and sponsorship budgets by forecasting marketing expenditure (e.g., gift bags, advertising, stand costs) and tracking potential revenue against set financial goals.
7. Coordinate the delivery of all contracted sponsorship entitlements across relevant University departments and event organizers, ensuring every commitment (e.g., signage, host opportunities, digital representation) is fulfilled to the highest standard during the conference.
8. Proactively build and maintain long-term, positive relationships with current and past sponsors, serving as their primary point of contact to drive satisfaction, secure renewal, and ensure they are kept informed of upcoming events and future collaboration opportunities.
9. Establish and maintain a comprehensive and accurate Customer Relationship Management (CRM) database of all prospective and existing national and international sponsors to ensure data integrity and facilitate future outreach and accurate reporting.
10. Maintain expert knowledge of all relevant Conference Management policies and procedures to ensure compliance and provide accurate, efficient support and information to internal and external stakeholders.
11. Serve as the central point of contact between sponsors and internal teams (including event organizers) to ensure seamless flow of information, timely completion of required requests, documentation, and operational needs throughout the event lifecycle.
12. Perform necessary general administrative and office support tasks, including document preparation, data entry, and managing communication flows to ensure the section operates efficiently.
13. Complete any other job-related tasks as assigned by the line manager in the concerned college/department within the expected time limit.
Required Skills
- Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
- Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as Excel, Word, and Teams.
- Strong command of spreadsheet software (Microsoft Excel/Google Sheets) for developing detailed event budgets, forecasting sponsorship revenue, tracking expenditures, and preparing variance analyses.
- Proficiency in creating professional, visually compelling sales proposals, presentations, and marketing materials.
- Ability to compile raw data into digestible reports, charts, and dashboards for internal review and performance monitoring.
- Familiarity with project or workflow management tools to coordinate sponsor fulfilment activities with internal departments, ensuring timely delivery of entitlements.
Desirable Requirements
- Minimum of a bachelor's degree in Business Administration, Communication, or International Relations.
- 2-4 years of UAE experience in a similar role, preferably in higher education institutions.
- Priority is to UAE Nationals.
