Job Description

Financial Planning, Budgeting & Forecasting

• Co-ordinate with Commercial, Operation & Project Management teams for revenue and costs computation and ensure revenue and costs are recognized as per corporate accounting policy/guidelines and IFRS.
• Prepare monthly management report by department, comparing actual vs. budget, with brief commentary on major variances.
• Coordinate with all DT departments for compilation of overhead budget.
• Consolidation and presentation of DT budget to the Finance Manager within schedule deadlines.
• Prepare the monthly closing file, within one week of month end close. This file should contain schedules for all balances in the balance sheet and major balances in financial income statement and cash flow. Also this file should highlight all issues and recommend solutions to resolve the issues within agreed time frame system.
  
  

General Ledger / Project Costing

• Maintains the General Ledger and ensures that all accounting entries including those related to the subsidiary ledgers are booked clearly, accurately, completely and posted in the General Ledger on time and before closing of period.
• Check that all sub ledgers (AP, AR, Fixed Assets) agree with the respective GL control account
• Ensure that costs are capitalised or expensed as appropriate and charged to the correct cost centre.
• Review the GL, identify any errors of omission or commission and arrange for rectification before close of period.
• Ensure books are closed monthly (AP, AR, FA and GL) and reviewed by Finance Manager.
• Ensure that relevant job and cost codes are created promptly.
  
  

Bank transactions

• Prepare bank reconciliations. Make sure these are done monthly & that there are no long pending items.
  
  

Payables

• Book, validate and create accounting of all the invoices (RFP, PO based and Petty cash reimbursement), process and verify all the supplier payments and ensure correctly coded, adequately supported and backed by approved Capex/Opex.
• Work constantly on reducing the payables cycle time.
• Ensure payables sub ledger accounts are reconciled to the suppliers’ statements of accounts and I/C balances
• Prepare all accruals JVs monthly and at year end.
  
  

Receivables

• Ensure that customers have been invoiced correctly and promptly as per contract terms.
• Ensure that receipts are applied to invoices in a timely and accurate manner.
• Ensure that all credit transactions (reversal of sales, waiver of interest/fees/other charges) are correct and approved.
• Ensure that refunds to clients are correctly and promptly done (reversal of invoices, refunds).
• Ensure that accurate statements of accounts are issued to clients on time.
• Review the monthly receivables aging analysis report and present to Finance Manager.
• Ensure follow up on overdue receivables.
• Ensure that AR sub ledger is reconciled monthly to GL.
  
  

Fixed Assets

• Ensure that a Fixed Assets Register is set up and updated regularly.
• Determine useful life of assets and ensure correct calculation and accounting of depreciation.
• Ensure proper implementation of corporate policies and procedures on capitalization, disposals and transfer of assets.
  
  

VAT Compliance

• Ensure the accuracy of accounting for VAT entries.
• Timely submission of VAT returns to FTA.
