Job Description

We are currently seeking an Admin assistant for Software Engineering reporting directly to Head of Software Engineering to join the team based in Abu Dhabi.

About The Role:

Your main missions and responsibilities will be to:

Procurement Management

  • Handle the procurement processes for resources and software, ensuring compliance with internal procedures.
  • Liaise with vendors and internal stakeholders to ensure timely delivery of software, equipment, and other resources.
  • Contract and Approval Management
    • Manage resource contracts, including renewals, amendments, and approvals.
    • Track contract timelines, ensuring timely processing and compliance with terms.
  • Documentation Management
    • Maintain and update the software engineering department’s document repository.
    • Ensure that all documentation is accurate, well-organized, and accessible.
  • Financial Oversight
    • Aggregate and maintain monthly cost reports for the department, covering manpower expenses, technical expenses, and other operational costs.
    • Work with the finance team to ensure accurate budgeting and expense tracking.
  • Administrative Support
    • Support department initiatives and projects as needed.

  • Education: Bachelor’s degree.
  • Knowledge and Skills:
  • Exceptional organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and document management systems.
  • Excellent communication skills, both formal and informal, with the ability to engage effectively with colleagues, users, and customers.
  • Ability to interact professionally and effectively across all levels of the organization.
  • Strong written and spoken English skills, with the ability to deliver compelling presentations.
  • Proficient in transversal management within a matrixed organization.
  • Keen attention to detail and the capacity to work independently with minimal supervision.
  • Experience:
  • 3-5 years of experience in a similar role.


Experiences in: projects, Previous Jobs

Languages: Indicate a secondary language and proficiency expected level, only if English is insufficient to perform the job
