Job Brief:
The Business Setup Coordinator will be responsible for managing the end-to-end company formation and licensing process once a client has been introduced. This role is not sales-focused — instead, the coordinator ensures that clients are guided through the setup journey, all paperwork and submissions are handled accurately, and regulatory requirements are fully met.
Job Responsibilities:
Client Onboarding & Support
- Contact clients assigned through the CRM to initiate the setup process.
- Collect and verify required documents (passport copies, proof of address, shareholder info, etc.).
- Provide clients with clear checklists, timelines, and next steps.
- Act as the main point of contact for clients during setup.
Business Setup Execution
- Handle applications for mainland and free zone licenses.
- Manage tasks such as trade name reservation, MOA drafting, notarization, attestation, and license issuance.
- Prepare, review, and submit required forms and applications to the relevant authorities.
- Track application progress, follow up with authorities, and resolve issues to avoid delays.
Government Liaison & Compliance
- Coordinate with free zone authorities, economic departments, and other regulatory bodies.
- Ensure compliance with the corporate regulations and evolving legal requirements.
- Stay updated on changes to fees, packages, and policies across jurisdictions.
Process & Internal Coordination
- Update CRM with accurate status notes, timelines, and document uploads.
- Coordinate with PROs, banks, and internal teams for related services (visa processing, banking introductions).
- Prepare weekly status reports for management on active files.
Job Requirements:
- 2–5 years of experience in company setup coordination (mainland + multiple free zones preferred).
- Strong understanding of documentation, compliance, and submission processes.
- Prior experience liaising with government authorities and free zones.
- Excellent organizational and multitasking skills; ability to handle multiple clients simultaneously.
- Strong communication skills.
- Proficient in using CRM systems and maintaining detailed client records.
- Detail-oriented, reliable, and client-service driven.
