Job Description

This position will play a pivotal role in supporting the International Office by ensuring efficient coordination, monitoring and reporting of various projects and initiatives. It will facilitate collaboration between internal teams and international stakeholders, maintain project documentation and provide administrative and operational support to ensure the successful execution of organizational objectives.

Responsibilities

Core Responsibilities:

Project Coordination:

  • Assist in planning, scheduling and monitoring project timelines, deliverables and milestones.
  • Act as a central point of communication between project teams, internal departments and external stakeholders.
  • Track project process, identify risks pr issues and escalate them to the Management when necessary.

Documentation and Reporting:

  • Maintain and update project documentation, including project plans, status reports, meeting minutes and other relevant materials.
  • Prepare detailed reports and presentations for management and stakeholders, ensuring accurate and timely updates.

Administrative Support:

  • Coordinate meetings, workshops and other events related to project activities, including scheduling, logistics and material preparation.
  • Assist with budget tracking, procurement requests and expense reconciliation for International Office projects.

Compliance and Governance:

  • Ensure adherence to organizational policies, procedures and standards in all project-related activities.
  • Monitor and report on compliance with international partners, vendors and stakeholders.

Collaboration and Stakeholder Engagement:

  • Foster effective collaboration with international partners, vendors and stakeholders.
  • Support cross-functional teams by facilitating communication and resolving coordination challenges.

Qualifications

Knowledge and Skills:

  • Bachelor’s Degree in Human Resources, Business Administration, Project Management or a related field. Master's Degree is a plus.
  • Minimum of 3 years of progressive experience in project coordination, administration or a similar role, preferably in International Projects or International Office.
  • Fluency in English is essential. Proficiency in additional languages relevant to the company's international operations is advantageous.
  • Familiarity with project management methodologies (e.g. Agile, Waterfall) and tools (e.g. MS Project, Jira, Trello).
  • Proficiency in MS Office (Word, Excel, Powerpoint).
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Problem solving and analytical skills to anticipate challenges and propose solutions.
