Document Controller

We are seeking an experienced and highly organised Document Controller to support its Tenant Fit-Out Management Team. The Document Controller will be responsible for managing the flow, accuracy, security, and retrieval of all project-related documents including design submissions, technical approvals, authority permits, site records, and correspondence. This role ensures efficient document handling, traceability, and compliance with master developer’s standards and project protocols.

Key Responsibilities

• Establish and maintain an efficient document control system for tenant fit-out projects, including design submissions, approvals, permits, and correspondence.
• Receive, log, distribute, and archive incoming and outgoing documents in accordance with established workflows and naming conventions.
• Monitor document review cycles and ensure timely responses from internal stakeholders (MEP, FLS, HSE, design reviewers, etc.).
• Track and report the status of tenant submissions, authority approvals, and key deliverables.
• Maintain the confidentiality and integrity of all controlled documents in physical and electronic formats.
• Liaise with tenants, consultants, and contractors to ensure documents are submitted in the correct format and meet project standards.
• Support the team in preparing document control reports, dashboards, and audit trails for internal management and external compliance.
• Coordinate with master developer’s digital platforms, EDMS (e.g., Aconex, Asite, or similar), and ensure proper upload, version control, and metadata tagging.
• Archive project documents systematically and ensure accessibility for project close-out and handover phases.
  
  

Skills, Knowledge And Experience

• Diploma or Bachelor's degree in Business Administration, Engineering, Construction Management, or a related field.
• 5–7 years of experience in document control within construction, real estate, or tenant fit-out projects in the UAE.
• Strong knowledge of document control systems (EDMS), including Aconex, Asite, or equivalent platforms.
• Excellent organisational skills and attention to detail.
• Strong communication skills and ability to interact with multidisciplinary teams.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
• Ability to work under pressure and manage large volumes of documentation with accuracy and speed.
• Previous experience working on developer or client-side projects is preferred.
• Fluency in English is required; Arabic is a plus.
