What are my responsibilities?

  • Coordinate all activities related to the Document Control procedure, including technical documents, drawings, submittals and commercial correspondence. Ensure that templates and formats for all documents are adhered to and inform the project team of the requirements and changes.
  • Handle all documents, correspondence and submittals for the assigned project and ensure that they are submitted or distributed timely, of the right quality, and are easily accessible and stored.
  • Ensure all document data is entered into the database and the information is accurate, up-to-date, and searchable.
  • Ensure the latest incoming documents, drawings, and correspondence are given to the appropriate staff, subcontractors, and suppliers, as applicable.
  • Maintain the files and control logs as required by the project and generate the various document control reports.
  • Maintain a document archive and register of electronic copies. Keep the documents and drawings in the Document Control office in safe custody without damage or deterioration and with easy traceability.
  • Coordinate and follow up with the project management, line manager and the respective area manager/engineer to ensure that documents are submitted on time as per the project and/or contractual requirements.

What do I need to qualify for the role?

  • Bachelor's degree in a relevant field or equivalent experience.
  • A minimum of 4 years of document control in the Project Environment.
  • Proven experience in document control, record keeping, or a related field.
  • Excellent attention to detail and commitment to producing high-quality work.
  • Capacity to operate autonomously and handle numerous assignments concurrently.
  • Proficient in Microsoft Office platforms and document management software.
  • Familiarity with industry-standard document control and record-keeping practices.
  • High social competence, which enables positive intercultural interaction with colleagues and business partners.
  • Strong communication and interpersonal skills.
  • Confident, results-oriented, highly motivated with a proactive attitude.
  • Ability to prioritize tasks and work effectively in a fast-paced environment.
