Job Purpose

To plan and schedule the preventive maintenance works carried out on Aviation Fuelling depot equipment’s to ensure safe and sustainable operations of fleet & equipment, resolving repetitive or chronic reliability problems, while controlling predictive maintenance (condition monitoring) tools, performance analysis & optimization or preventive/predictive maintenance routines/systems. Also, support in development of proposal for major modifications and implementation of new and updated technology, consolidation of department OPEX, CAPEX, tracking & monitoring the performance against scorecard, budget etc.

KEY ACCOUNTABILITIES:

Maintenance Planning

• Prepares preventive maintenance schedule for Aviation Fuelling depot equipment’s and fuelling fleet, in line with their usage, manufacture’s recommendations, engineering standards and input from concerned engineers & technicians regarding the required maintenance jobs and frequency for each item (equipment, machineries, vehicles etc.).
• Works closely with the Maintenance and Aviation Fueling operations team to support effective planning for shutdowns and special projects. Develops the overall master plan for maintenancerelated activities and issues quarterly, monthly and weekly look ahead plans for implementation.
• Follows up and coordinates with workshops and other maintenance teams on man-hour estimates, spare part requirements, etc. Liaises with Aviation Operations to identify essential and non-essential nature of various repair works and determine work priorities.
• Prepares detailed schedules for all repairs, routine and preventive maintenance works on daily basis and forwards them to Electrical and Mechanical maintenance team.
• Monitor and follows up progress of daily scheduled works. Attends daily coordination meetings with supervisors to receive feedback on progress of work and any related issues, finalising the next day’s schedule. Records daily actual man-hours spent and progress of outstanding maintenance works.
• Assists in evaluating the Aviation Fuelling depot equipment Maintenance activities to be outsourced. Conduct cost benefit analysis, prepares initial proposal etc.
• Follows up contracts and price agreements and takes action for renewal of contracts/ price agreements in time calculating the actual annual consumption and expected annual consumption.
• For major maintenance works, prepares scope of works, and coordinates with Projects Division for budget estimates, and follows up the tenders, receipt of quotations, technical evaluations, etc. Monitors and follows up progress of works until completion.
• To follow up financial obligations regarding purchase requisitions, Asset write off, auction procedures, asset tagging and inventory etc.
• Prepares various maintenance reports on a regular and adhoc basis, such as weekly overtime status report, monthly manpower utilization report, detailed backlog report and various performance reports.
• Ensure that terms of the SLA are being followed, analyze technical reports on work carried out and identify improvements in technical areas. Preparation of a regional monthly maintenance report.
• Develops & implements and updates the computerized maintenance management system to improve planning and monitoring of all repair and maintenance works, and ensure accurate records, effective manpower & resource management and enhanced control over maintenance operations.
• Updates and maintains Aviation Maintenance department master data, records write off vehicles, sold vehicles and replacement details. Maintains catalogues, As built diagrams.
  
  

Job Specific Accountabilities

• Updates specifications of existing machineries, creates specifications for new requirements
• Monitor and assigns to Raise Purchase Requisitions/Contract requisition/SPO/SWO/MR etc though office staff for machinery approved in the Capital Budget, Evaluates bidders for supply of machinery, Technically evaluates the offers and suggests correct purchases
• Monitors Purchase requisitions for Spare Parts, technical evaluation of offers for spare parts and suggest modifications in case spare parts are not available
• Performs site visits at manufacturer’s premises for manufacturing items like trailers, inspects new machinery during manufacturing and before delivery with end users and Aviation Maintenance department maintenance personnel, arrange for receipt, commissioning and handover to end users, follow up availing free service facilities
• Follow up Contracts and Price Agreements and acts for renewal of contracts/ Price Agreements in time calculating the actual annual consumption and expected annual consumption
• Plans for stocking fast moving spare parts to keep in Aviation Maintenance department Workshops
• Follow up the Work Orders backlog and communicate to all areas to finalize them, Reviews pending Purchase Requisitions and Contracts and Price Agreements pending for renewal.
• Plans annual Manpower requirement, assists performance appraisal and evaluation for employee promotions.
  
  

Budgeting and Performance Measurement

• Consolidate the OPEX budget of Aviation Fuelling Operations Maintenance team to develop the overall budget for the department. Monitor and track expenses on periodic basis, analyze and highlight any variances against departmental budgets. Support Department manager in developing, determining and updating the Aviation maintenance department KPIs and Balance Scorecard based in order to ensure alignment with division’s strategic objectives & KPIs.
• Lead and manage the monitoring & periodic reviews of department KPIs and Balance Scorecard in ensuring the progress of the KPIs & BSC are on track and are realistic to be achieved by the department.
  
  

Report Generation and Preparation

• Prepares various maintenance reports on a regular and adhoc basis, such as weekly overtime status report, monthly manpower utilisation report, detailed backlog report and various performance reports.
• Ensure that terms of the SLA are being followed, analyze technical reports on work carried out and identify improvements in technical areas. Preparation of a regional monthly maintenance report.
• Provides periodical reports like Monthly consumption of spare parts etc.
• Develop and updates existing formats for reporting to ensure accurate monitoring and tracking of departmental performance, expenses etc.
• Follow up with Mechanical and Electrical maintenance teams on compliance with regard to organizations HSE policies and procedures during maintenance activities.
  
  

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:

• Engineering degree in Mechanical/ Electrical or any other relevant qualification.
• 8 years of experience in maintenance department including planning preferably in aviation fuelling field
