We are looking for a motivated and detail-oriented Executive Assistant to provide dedicated support to our CEO. This role demands excellent organizational abilities, a high level of professionalism, and the capacity to manage confidential matters with utmost discretion. The ideal candidate will have substantial experience in executive-level support and thrive in a fast-paced corporate environment. Preference will be given to male candidates who can speak Malayalam.

Key Responsibilities:

  • Calendar Management: Coordinate and manage the CEO’s schedule, ensuring efficient time management and minimal conflicts.
  • Travel Arrangements: Organize international and domestic travel, including flights, accommodations, and itineraries.
  • Communication Management: Act as the point of contact for internal and external communications on behalf of the CEO.
  • Meeting Preparation: Prepare agendas, briefings, and materials for meetings; take minutes and follow up on action items.
  • Project Management: Assist in tracking, coordinating, and managing projects to ensure timely completion.
  • Administrative Task Management: Handle various administrative tasks, such as expense reports, document management, and office-related coordination.
  • MIS Report Analysis: Review and analyze reports, providing insights to support decision-making.
  • Confidential Matters: Handle sensitive information with the utmost discretion and confidentiality.
  • Liaison: Maintain strong relationships and ensure effective communication with internal and external stakeholders, including board members, executives, and key clients.
  • Office Management: Oversee and maintain the CEO's office, ensuring it is well-organized, fully equipped, and operational. Manage expense-related tasks, including budgeting and tracking expenditures.

Qualifications and Skills:

  • Experience: Minimum of 3 years as an Executive Assistant, preferably in a corporate environment.
  • Multitasking: Proven ability to manage multiple tasks simultaneously and prioritize effectively.
  • Organizational Skills: Excellent organizational and time management skills, with strong attention to detail.
  • Communication: Exceptional written and verbal communication skills.
  • Technology Proficiency: Proficient in office software, including Microsoft Office and Google Workspace.
  • Problem-Solving: Strong ability to think critically, anticipate needs, and proactively address challenges.
  • Professionalism: Demonstrates a high level of professionalism, integrity, and discretion when handling confidential matters.
  • Education: Bachelor’s degree required.
  • Language Skills: Proficiency in both Malayalam and English.
