We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our office and contributing to the overall success of our organization. You will be responsible for managing schedules, coordinating meetings and travel arrangements, and handling confidential information with utmost professionalism. The ideal candidate will have excellent communication and organizational skills, as well as the ability to work independently and prioritize tasks effectively.

Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings for the executive team
  • Arrange travel accommodations, including flights, hotels, and transportation
  • Prepare and edit correspondence, presentations, and reports
  • Screen and direct phone calls and emails, taking messages and responding as appropriate
  • Collect and analyze information to prepare reports and presentations
  • Coordinate and support the executive team in various projects and initiatives
  • Act as a point of contact between the executive team and internal/external stakeholders

Requirements

  • Proven experience as an Executive Assistant or similar role
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • High level of professionalism and discretion when dealing with confidential information
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Detail-oriented and able to meet deadlines
  • Ability to work independently and collaboratively in a fast-paced environment
  • Bachelor's degree in Business Administration or related field preferred
  • Familiarity with budget management and basic accounting principles is a plus
  • Strong problem-solving skills and ability to adapt to changing priorities
  • Knowledge of project management tools and techniques is an advantage
  • Flexibility to work extended hours and travel, if needed
  • Proven ability to maintain effective working relationships with all levels of management and staff
