Our client is an international Oil and Gas organisation looking to hire an Executive Assistant.

Job Summary

This is a unique opportunity to support a dynamic CEO across multiple global corporate functions. We seek a proactive, ambitious individual to work closely with the CEO. This demanding yet rewarding role requires a 24/7 mindset, offering significant exposure and autonomy in managing projects and establishing efficient systems.

As the Executive Assistant, you will coordinate global speaking events, media appearances, and liaise with various Boards. Efficient information processing, critical thinking, and decision-making with minimal supervision are crucial. You will manage a busy business diary, ensuring the CEO is well-briefed and their time is optimized.

Strong relationship management skills are essential as you will interact with heads of state, VIPs, industry leaders, and ultra-high-net-worth individuals, maintaining high discretion and confidentiality.

Exceptional communication skills in fluent English, high emotional intelligence, and seamless integration with the executive team are required. Your role will optimize the CEO’s productivity, working closely with other executives, demonstrating attention to detail, organizational skills, adaptability, and confidence in making things happen.

Responsabilities

As the Executive Assistant to the CEO, you will ensure the smooth operation of the executive office through a variety of responsibilities:

  • Diary and Inbox Management: Handle complex schedules and communications across multiple time zones.
  • Executive Support: Manage correspondence, draft documents, analyze information, and communicate on behalf of the CEO.
  • Reporting: Keep the CEO updated on all business-related matters.
  • Stakeholder Liaison: Serve as the main contact for internal and external stakeholders, handling confidential matters.
  • Meeting Preparation: Research, prepare, and produce documents, reports, and presentations for meetings.
  • Global Coordination: Arrange and coordinate international meetings.
  • Document Creation: Independently draft and process letters and emails to a high standard.
  • Task Management: Prioritize and manage multiple activities related to the CEO’s duties.
  • Meeting Attendance and Follow-up: Attend meetings, record actions, and follow up on tasks.
  • Event Coordination: Oversee the CEO’s speaking engagements and media communications.
  • Document Review: Review and provide feedback on documents and reports.
  • Filing and Data Retrieval: Maintain filing systems for easy access to information.
  • Inventory Maintenance: Update inventories of corporate gifts and brochures.

Skills

  • Experience: Minimum of 7 years supporting high-level executives with international UHNWI exposure.
  • Education: Bachelor’s degree in Business or a related field.
  • Organizational Skills: Exceptional ability to assess, prioritize, and manage time efficiently.
  • Professionalism: Maintain high standards of discretion and handle confidential information with care.
  • Adaptability: Thrive in a high-pressure, dynamic environment with flexible working hours.
  • Judgment and Resilience: Demonstrate sound judgment, confidence, resilience, and a positive attitude.
  • Problem-Solving: Effectively solve problems with attention to detail.
  • Communication: Exceptional written and verbal communication skills in English.
  • Pressure Management: Ability to meet deadlines, manage multiple tasks, and work under pressure.
  • Self-Motivation: High level of self-motivation and initiative.
  • Technical Skills: Proficiency in MS Office and the ability to produce professional memos and reports.
