We are looking to appoint an Executive Assistant to support a senior leader and his team located in multiple global locations.
You will be part of our Global Technology Segment team as well as being part of the McDonalds Middle East development company community and connections.
Who will my customers be?
- Chief Information Officer (CIO) and direct reports
- Global Technology leadership team
- Leadership stakeholders across segments and markets inc. Japan, China and key partners and technology suppliers.
- McDonald’s Dubai based Executive Assistants
- Other Executive Assistants across Global Technology around the world.
What will my key accountabilities be?
- Performing extensive diary management, contribute to an annual master calendar accounting for extensive time zone implications.
- Having awareness of Global technology functional rhythms, meeting and reporting cadence to support calendar management and time optimization.
- Clarifying meeting chair for leadership meetings and agreeing with leader as required.
- Working from the Dubai Office to support in-person co-ordination on all days of the week in line with Dubai office policy.
- Planning and organisation of meetings globally including all logistical aspects such as: venue search and booking, issuing invitations, and tracking acceptances, budget control.
- Preparing and submitting expenses using company expense system.
- Acting as first point of contact and central information point for the CIO.
- Working with Global tech strategy and planning team to send out communications on behalf of the CIO as and when required.
- Documentation management: Collecting and filing of various types of documentation in a structured manner to facilitate easy access when required.
- Supporting the CIO with document/presentation edits on (PowerPoint, Excel).
- Managing and maintaining the team contact and email distribution lists.
- Preparing boardroom / meeting rooms for meetings to include video conferencing, refreshments etc.
- Performing extensive global travel arrangements for the CIO and his team of direct reports (including arranging visa’s if necessary).
- Receiving and welcoming visitors relevant to the CIO and Global tech team.
- Maintaining and building relationships with EAs in Dubai office, London, Singapore, Sydney and MHQ and market offices. (Japan, China and other IDL markets when required)

Technical Proficiency
- Excellent knowledge of MS Office applications (Teams, Word, Excel, PowerPoint, Outlook).
Problem Solving and Multitasking
- Capable of handling logistics such as flights and transfers, resolving issues promptly, and prioritizing tasks effectively.
Professionalism and Confidentiality
- Maintain a professional demeanor, represent the team positively, and handle sensitive information with discretion.
Good to know:
This role will be based 4 days in the office, 1 day remote.
