Title: Student Experience Specialist

Purpose of the Role:

Perform a wide range of administrative and office support activities for the Education and Sales departments to ensure the efficient operation of the organization. Provide support to education partners locally and internationally.

Accountable to:

  • Education Director
  • Institute and Education Manager
  • Office Manager


Main Responsibilities:

  • Manage student registrations, payments, and follow-ups for educational programs.
  • Provide course information and respond to inquiries regarding training and schedules.
  • Prepare training resources and materials.
  • Organize trainers and presenters' itineraries for overseas courses, modules, and events.
  • Draft quotations for hosting clubs and follow up on payments.
  • Communicate with registered students, sharing training details and schedules.
  • Issue training clearances and certificates.
  • Collaborate with the accounts department for student data and financial information.
  • Resolve administrative issues and respond to inquiries.
  • Address queries submitted through the website.
  • Work with the Marketing department to manage training promotions and website bookings.
  • Follow up with students on pending assessments and qualification requirements.
  • Update and maintain a database of trainers, ensuring the community is informed about upcoming courses and events.
  • Regularly update and manage the Education section on the organization's website.
  • Contribute to the growth and development of the education programs in the region.
  • Ensure accurate data entry and record-keeping.
  • Organize and maintain paperwork for the Education Team.
  • Assist in planning and coordinating the Training and Education Calendar.
  • Arrange training locations as needed.
  • Work closely with leadership to provide data for training reports.
  • Track and maintain records of equipment and resources within the training institute.
  • Monitor and report facility usage on a weekly, monthly, and quarterly basis.
  • Maintain accurate records of trainers, partners, and members renting spaces for sessions, including agreements, qualifications, and relevant documentation.
  • Ensure cleanliness and enforce health and safety protocols within the training institute.


Key Performance Indicators:

  • Completion and certification rates of students per course.
  • Accuracy of data entries and tracking sheets.
  • Timely completion of reconciliations with accounts.
  • Efficient follow-up on registrations, payments, and attendance for courses and events.
  • Timely response to emails and inquiries.
