About The Role


We are seeking a highly organized, professional, and friendly individual to manage the front office operations of our Dubai office and provide crucial administrative support to our People team. This is a vital, dual-functional role that requires excellent interpersonal skills, a proactive attitude, and strict attention to detail and confidentiality. You will be the face of the company and a key player in ensuring smooth day-to-day operations. This is a full-time, in-office position. The successful candidate is required to work Monday through Friday from our office in EMAAR Square with no flexibility for remote or hybrid work.

What You Will Do


  • Front Desk Management: Greet and welcome visitors, clients, and candidates in a professional and friendly manner. Manage and direct incoming calls and taking accurate messages.
  • Travel Coordination: Act as the main company travel coordinator, responsible for researching, booking, and managing all company flights and accommodations using our preferred vendor system.
  • Safety & Security: Serve as the primary Fire Warden for the office, responsible for coordinating evacuation drills, ensuring compliance with fire safety procedures, and acting as the main point of contact during an emergency. Manage visitor sign-in procedures and issue temporary access badges in accordance with security protocols.
  • Mail and Deliveries: Sort, distribute, and process incoming/outgoing mail, packages, and deliveries.
  • Office Operations: Maintain a clean, organized, and professional reception area and general office spaces. Monitor and manage inventory of office supplies, breakroom items, and equipment, placing orders as needed.
  • Meeting Support: Schedule and coordinate meetings, ensuring meeting rooms are prepared and cleaned afterward. Assist with setup for company events or special visitors.
  • Onboarding & Offboarding: Assist the People team with processing new hire paperwork (visa applications), preparation of welcome packs, and coordination of the first-day logistics. Assist with administrative aspects of employee offboarding.
  • Record Keeping: Maintain and update employee files (physical and digital) with a strong emphasis on data security and accuracy. Process and file various documents, including induction forms and policy acknowledgements.
  • General HR Support: Assist the People team with administrative tasks related to benefits enrolment, policy distribution, and organization of People-related events or training sessions. Support ad-hoc People projects as required.

What You Will Need


  • To perform this job successfully, the successful candidate must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Proven experience (2 years min.) in front of office/receptionist, administrative or office management role.
  • Exceptional professionalism and interpersonal communication skills (written and verbal).
  • Demonstrated ability to handle confidential and sensitive information with the utmost discretion and integrity.
  • Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
  • UAE Driver’s license (advantageous).
  • Fluency in English, verbal and written. Arabic and other languages are advantageous.
