Job Summary
We are seeking a detail-oriented and proactive HR Coordinator to manage the end-to-end onboarding process and provide comprehensive HR administrative support. This role is critical in ensuring a smooth and positive experience for new hires, transfers, and leavers, while also supporting the broader HR function with key administrative responsibilities.
Key Responsibilities
Onboarding & Mobilization
- Manage the full onboarding process for new hires, regional, and international transfers.
- Serve as the primary point of contact for candidates and supervisors throughout the onboarding journey.
- Coordinate with the Public Relations (PR) team to obtain necessary immigration documents and work permits.
- Liaise with IT, Facilities, HSE, and other support functions to ensure all pre-joining arrangements are in place.
- Handle all administrative tasks related to mobilization, including accommodation, flights, air shipment, and collection of new hire forms.
- Prepare and distribute weekly new joiner reports to Hiring Managers and Business Group Leads.
- Maintain and update regional onboarding templates and documentation.
- Administer the company’s benefits program within the region and act as the point of contact for related queries and claims.
- Prepare HR documentation such as confirmation letters, salary reviews, promotions, changes to terms and conditions, secondments, and transfers.
- Generate regular and ad-hoc HR reports (e.g., headcount, terminations).
- Maintain electronic personnel files and ensure data accuracy.
- Interface with payroll to communicate employment changes.
- Manage leaver and demobilization processes.
- Respond to internal and external queries regarding HR policies and employee matters.
- Act as a point of escalation for the Service Centre team.
- Provide support to other HR functions as needed.
Here's what you'll need
Qualifications & Experience
- Bachelor’s degree in human resources, Business Administration, or a related field.
- 5+ years of experience in HR operations, onboarding, or administration.
- Strong understanding of HR processes, employment lifecycle, and regional labor laws.
- Experience working with cross-functional teams and international stakeholders is a plus.

- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- High attention to detail and accuracy.
- Proficient in Microsoft Office Suite and HRIS systems.
- Ability to handle sensitive information with confidentiality and professionalism.
- Proactive, solution-oriented, and adaptable to change.
