HR Admin & PRO Coordinator

The HR Support & PRO Coordinator is responsible for managing administrative tasks within HR Department and handles external government relations, legal documentation, and compliance for the organization. You will act as a primary point of contact between Fujifilm and various governmental organizations, coordinating with HR, Finance, and Administration teams to manage all government-related tasks efficiently. You will also support HR with Onboarding & Offboarding while also providing support to the employees.

Key Responsibilities

Visa & Immigration Processing

  • Manage visa applications, renewals, cancellations, and work permit processing for employees (and from time-to-time family visas for VIP employees).
  • Manage medical appointment set up and support employees for visiting testing centres.
  • Access JAFZA/EXPO, GPSSA, or any other portal Fujifilm uses for official employment purposes.
  • Ensure timely execution of residency permits and other employment-related documentation.
  • Collaborate with HR to facilitate the onboarding process by managing visa and work authorization procedures.
  • Process Business travel visas (including appointment set up) for employees.
  • Follow up with HR and employee for renewal of passports, visa and employment contracts.

Trade License & Legal Compliance

  • Support trade license renewals, amendments, and compliance with commercial registration requirements.
  • Maintain an updated record of licenses and ensure the timely renewal of all legal documents.
  • Coordinate with relevant departments to ensure all licensing requirements are met and maintained.

HR Tasks

  • Support office Administration tasks
  • Manage the onboarding process for new hires including planning of new employee induction.
  • Coordinate the offboarding process for departing employees ensuring compliance with exit
  • Maintaining and updating employee records and key data in the company’s ERP system in a timely and accurate manner.

Qualifications & Experience

  • Bachelor’s degree in business administration or a related field.
  • 3-5 years of experience in a similar role involving PRO support, admin, or government liaison tasks in the UAE.
  • In-depth knowledge of UAE labor laws, visa regulations, and governmental procedures.
  • Should have knowledge about freezone visa regulations like JAFZA & EXPO.
  • Strong organizational and time-management skills with a high attention to detail and accuracy.
  • Excellent proficiency in English and preferably Arabic.
  • High level of discretion in handling confidential information.
  • Strong interpersonal and communication skills for effective collaboration with government entities and internal departments.
  • Valid UAE driving license is mandatory
