This position is responsible for supporting the Human Resources department in all administrative and other assigned areas.
Key Responsibilities
1. Reception:
- First point of contact for all customers, responding to their initial queries and allocating their query to another HR member where required.
- Deal with sensitive documents and issues, maintain confidentiality at all times.
- Preparation of all HR letters and documents required by colleagues.
- All new joiners are personally welcomed and necessary paperwork completed in an organized and efficient manner.
- New joiner starting dates are communicated and coordinated with the respective HODs and the Training department.
- On-boarding documents and files are completed and filed accordingly.
- Administrative support to Director of HR and HR Manager.
- Accurate data entry into HRIS and Employee data base.
- Maintenance of employee files and records.
- Employee and payroll data is maintained in systems.
- All monthly invoices are cleared and submitted to finance.
- Office supplies are ordered and replenished on timely manner.
- The employee communication boards are up-to-date and attractive.
- The employee locker rooms and cafeteria are looked after.
- Employees are welcomed to the Human Resources office in a warm and friendly manner.
- Every leaver respecting a notice period receives an employment certificate on their last working day.
- Provide administrative support to recruitment by assisting in closing the screening and closing positions.
- Conduct phone screening and interview for Interns and trainees.
- Provide administrative support to engagement and organizing activities.
- Provide administrative support to government relations by making sure all government related documents are filed and updated in the HRIS and employee data base.
- To cover the areas and take responsibility in the absence of HR colleague including but not limited to recruitment, ticket booking, monthly report and pro office.
Skills, Knowledge and Expertise
To fill the position, the following is required:
- One (1) year in a similar HR position within a luxury brand or an international company
- Ability to work and communicate in a multinational environment:
- Local language – excellent oral and written skills
- English – excellent oral and written skills
- Additional language - beneficial
- To fill this position the candidate must have:
- Planning and organizational skills
- Verbal and written communication skills
- Problem Solving & Decision Making skills
- Be familiar with labour laws and regulations
- Be familiar with local social insurance policies
- Administration skills
- Computer literacy:
- Word and Excel
