Role Overview
We are seeking a skilled and detail-oriented Logistics Coordinator with at least 5 years of relevant experience, ideally within the cosmetics or perfume industry. The successful candidate will be responsible for managing and optimizing all aspects of operational logistics, including international shipments, warehouse management, and customs procedures. Experience with freezone operations and warehouse systems is highly desirable.
Key Responsibilities
1. Operational Logistics Management
- Oversee end-to-end logistics operations for inbound and outbound international shipments.
- Ensure compliance with all Incoterms and coordinate with shippers, freight forwarders, and third-party logistics providers.
- Manage and process duty exemptions, ensuring all documentation is accurate and submitted on time.
- Handle Letters of Credit (LC), including document preparation, submission, and liaison with financial institutions.
- Ensure efficient cargo clearance by preparing and reviewing all required customs documentation, following up with authorities, and resolving any issues promptly.
- Maintain up-to-date knowledge of current customs regulations and procedures.
2. Freezone Operations
- Prepare and manage customs documentation for cargo entry and exit within freezones.
- Liaise with freezone authorities to ensure compliance with their specific rules and processes.
- Track the movement of goods into and out of the freezone, ensuring full traceability and compliance.
3. Shipment Handling
- Coordinate all aspects of inbound shipments (receiving, inspection, documentation).
- Manage outbound shipments (dispatch planning, carrier coordination, documentation).
- Monitor shipment status, proactively addressing any delays or issues to ensure timely delivery.
4. Warehouse Management
- Utilize Warehouse Management Systems (WMS) to allocate stock to appropriate bins upon arrival.
- Guide the warehouse team to optimize storage organization, ensuring efficient space utilization and easy retrieval.
- Conduct regular stock checks and reconciliations to maintain inventory accuracy.
- Implement best practices for stock handling specific to cosmetics/perfume products to avoid damage and preserve quality.
5. Team Collaboration & Reporting
- Work closely with procurement, sales, finance, and customer service teams to support business operations.
- Generate regular logistics reports for management review (shipment status, inventory levels, customs clearance updates, etc.).
- Train new team members on logistics processes and warehouse management standards as needed.
Requirements
- Minimum 5 years' experience in a logistics or supply chain role handling international trade shipments.
- Previous experience in cosmetics or perfume, perfume packaging industry is highly advantageous.
- Proven expertise in Incoterms, duty exemption processing, LC handling, cargo clearance, and customs procedures.
- Strong knowledge of freezone operations and associated customs documentation.
- Hands-on experience with Warehouse Management Systems (WMS), including stock allocation and storage optimization.
- Ability to manage multiple shipments simultaneously and resolve operational bottlenecks quickly.
- Excellent organizational skills with strong attention to detail.
- Effective communication skills in English (Arabic or other languages are a plus).
