The Secretary will provide high-level administrative support, ensuring the efficient operation of the Signage department. Key Responsibilities
Administrative Support:
- Manage the Signage Projects and calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize meeting materials, agendas, and minutes.
- Screen and manage incoming communications, including emails, phone calls, and correspondence.
- Maintain and organize confidential files and records.
- Assist in the planning and execution of special projects and initiatives.
- Coordinate cross-departmental activities to ensure project deadlines are met.
- Prepare reports, presentations, and other documents as required.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Facilitate communication within the executive team and across departments.
- Represent the CEO in meetings and events when necessary.
- Conduct research on industry trends, market conditions, and competitor activities.
- Compile and analyze data to support decision-making processes.
- Prepare briefing materials and summaries for the CEO.
- Ensure the CEO’s office operates smoothly and efficiently.
- Manage office supplies, equipment, and maintenance.
- Oversee the coordination of company events and functions.
Education & Experience:
- Bachelor’s degree in Business Administration, Communications, or related field.
- Minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Experience in the outdoor media & signage industry is highly desirable.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- High level of professionalism and integrity.
- Proactive and able to anticipate the needs of the CEO.
- Flexible and adaptable to changing priorities.
- Strong interpersonal skills and the ability to build relationships.
- Full-time position, typically Monday to Friday.
- May require occasional evening or weekend work.
- Some travel may be required.
