Responsibilities
Job Overview:
The Manager - Admissions will oversee the entire admissions process for Cranleigh Abu Dhabi, ensuring a seamless and efficient transition from the initial inquiry through to student enrolments and registration. This role will involve direct communication with prospective parents and collaboration with internal teams to ensure the timely and accurate processing of all admissions.
Parent Communication and Relationship Management
- Serve as the primary point of contact for prospective parents, providing clear and accurate information regarding the admissions process, curriculum, fee structure, and relevant regulations (such as ADEK requirements).
- Conduct in-person or virtual meetings with prospective parents to answer queries, discuss the school’s educational offering, and guide them through the admissions process.
- Maintain ongoing communication with parents throughout the admissions process, from initial inquiry through to registration.
- Ensure parents receive timely and accurate updates on the status of their application, as well as any required next steps.
- Develop and nurture strong relationships with feeder nurseries and schools to facilitate smooth transitions for incoming students.
- Organize and attend admissions events and open days, providing prospective families with an overview of Cranleigh Abu Dhabi’s ethos, values, and educational offerings.
- Oversee the complete admissions cycle for new students, including processing applications, conducting assessments (or coordinating these with the academic team), and managing the waiting list, if applicable.
- Ensure that all required documentation is submitted, reviewed, and accurately entered into the admissions system, including student records, application forms, academic history, and reference letters.
- Manage the admissions database, ensuring that all details related to enrolments, applications in progress, and student registrations are kept up to date.
- Ensure that all new student files are complete, including required documentation for both students and parents, such as birth certificates, passports, residency permits, and educational records.
- Stay informed and comply with relevant regulations, including ADEK rules, ensuring the admissions process meets all legal and accreditation requirements.
- Lead and manage the admissions team, ensuring all staff members are trained and equipped to handle the admissions process efficiently.
- Provide guidance, support, and performance feedback to team members, fostering a collaborative and productive work environment.
- Set clear objectives for the team, track progress, and adjust strategies as necessary to meet admissions targets.
- Ensure smooth day-to-day operations of the admissions office, managing workflows and prioritizing tasks to meet deadlines.
- Foster a culture of excellence in customer service, ensuring the team consistently delivers high-quality experiences for prospective families.
- Maintain accurate and up-to-date records of enquiries, applications, offers, enrolments, and waiting lists, providing the school leadership team with daily, weekly, and monthly updates as required.
- Generate regular reports on student enrolment figures, trends, and projections, sharing key data with the Head of Enrolments, Principal, and other relevant stakeholders.
- Provide regular analysis of enrolment figures to help inform recruitment strategies, including identifying potential challenges in achieving enrolment targets.
- Work closely with the PRE to track student retention rates and implement strategies to address any gaps or challenges in recruitment.
- Prepare and deliver ad-hoc reports as required by the senior leadership team, ensuring they have the necessary data to make informed decisions.
- Work with the IT department and external vendors to ensure that the admissions software is functioning optimally and that all relevant processes are automated where possible.
- Continuously assess and improve the admissions process to enhance efficiency, reduce administrative burdens, and improve the overall experience for parents and students.
- Assist in the development and delivery of training for staff on how to use the admissions system, ensuring all team members are proficient in system use and that processes are followed correctly.
- Stay up to date with industry best practices, trends in school admissions, and technological advancements that could enhance the school’s admissions processes.
- Represent Cranleigh Abu Dhabi’s ethos and standards at all times, ensuring that the school’s values are clearly communicated to prospective families.
- Manage the re-enrolment process for returning students, in collaboration with the Parent Relations Manager, ensuring timely updates and seamless transitions for current families.
- Assist with the marketing and promotion of the school through external events, networking opportunities, and other outreach activities.
- Perform other duties as assigned by the Head of Enrolments or Principal.
Minimum Qualifications:
- A minimum of 4 years of experience in a customer-focused role within the region, preferably in an educational environment.
- Experience with data management and reporting is essential.
- A background in education or knowledge of the UAE educational landscape is an advantage.
- Bachelor’s degree is required.
- Management experience is preferred
- Fluency in English, both written and oral; proficiency in Arabic is a plus.
- Strong interpersonal skills to work effectively with a diverse group of parents, students, and staff.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks and priorities.
- A high degree of professionalism and attention to detail.
- Strong IT skills and familiarity with CRM or admissions management systems.
- Understanding of Sales Force and ISAMs
