Job Description

Illumina are a Global Biotechnology company, growing at a rapid pace, we are currently looking for an Administrator to join our mission, to improve human health by unlocking the power of the genome. The Office Administrator is responsible for the office administration, reception duties including registering visitors onsite, logistics coordination and site facilities.

You will be based onsite at our Solution Center in Dubai and must have fluent English language skills.

Responsibilities

  • Visitor/guest registration and assistance with on-site events & meetings
  • Reception duties
  • Managing office supplies including catering for events
  • Coordinate with the local customs brokers on the clearance and delivery of ordered items
  • Coordinate with suppliers on the shipping to the office
  • Liaise with the lab to receive order items
  • Maintain the customs record documents for Global Trade Compliance
  • Liaise with Lab on any declaration for all the consumed items and share with the local customs broker
  • Liaise with local customs broker for any local transfer request from a local supplier to Illumina Middle East FZE
  • Inventory Control of badging supplies and liaison with the Global Security Team (EMEA) for management of badging process and issuance
  • Visitor & Vendor Management representative and working with the Global Security Team (EMEA) on relevant software and hardware for Visitor & Vendor Management process
  • Management of postal services on-site and liaison with the Global Security Team (EMEA) for relevant elements
  • Brass Key Management for Illumina demise of the building (EMEA) and Global Facilities Team (EMEA) for relevant elements
  • Assists with Finance Administration related to the lab.

Requirements

  • Some previous experience working within a secretarial or administrative role
  • Experience with logistics/customs coordination and administration
  • Excellent communication skills
  • Knowledge of MS Office
  • Good organizational skills
