Role Summary:

The Operations Billing Executive reporting to the Operations Manager based out of Ras Al Khaimah, UAE shall primarily handle and be responsible for the invoice collection, communication with respective vendors / service providers and smooth coordination with internal departments in an accurate, professional, and timely manner. This position involved ensuring Quality Management System Standards are implemented consistently in all operational reporting activities, monitoring the required operational excellence.

Contract: Fixed Term - 3 Months

Location: UAE (Remote)

Key Responsibilities:

  • Responsible for the smooth invoice collection and follow-up with the respective vendor or internal department.
  • Instrumental in ensuring the invoices are collected within 10 days of the vessel’s ATS or as per the Principal’s SLA.
  • Verify all third-party and internal invoices as per the SOP in place.
  • Ensure that all service lines in OneDA are captured accurately and are in line with the appointment letter and internal instructions.
  • Responsible for smooth submission of invoices to DAC team for FDA processing, maintaining records as per set procedure.
  • Responsible for maintaining records of all credit notes raised by the department.
  • Ensure accurate disbursements are sent to the Principal after completing of the quality checks of all invoices pertaining to the port call.
  • Smoothly coordinate FDA query resolution. It includes coordination with the Operators and other departments.
  • Ensure that customer service and customer satisfaction remain as a top priority in all elements of the functions performed in this department.
  • Contribute towards any improvements to the department policy, SOP, communications, or any other improvements as deemed beneficial to the department, Inchcape and the Principals.
  • Ensure to maintain good relationship with all Principals and Vendors handled, and work quickly and effectively to resolve any issues, disputes, or other which principals may face
  • Reporting: regular dialogue with Regional Operations Centre (ROC), Operators, Asst. Operations Managers, Support Desk team, DAC Team, Vendors to ensure smooth activities throughout.

The post holder will carry out any other duties as are within the scope and purpose of the job as requested by the Line Manager and ensure full utilization of all ISS systems according to Standard Operating Procedures.

Candidate Requirements:

  • Good understanding of port operations and port agency services (more than 3 years).
  • Proficiency in MS Office application (word, excel, outlook, PowerPoint, etc.) and related internal systems.
  • Good planning, organizing.
  • Proven skills in administrative and numerate skills, able to use initiative to solve day-to-day problems in a professional and methodical manner.

  • Strong Problem Solving & analytical skills.
  • Good Project Management skills.
  • Excellent Planning & Co-ordination skills.
  • 1-3 years experience in similar role.
  • College degree or equivalent.
  • Local Middle East Port knowledge.
  • Shipping Agency Experience.
