Job purpose:
The Operations Executive executes work priorities, schedules, and plans, which are established by cargo operations managers. They are also responsible for providing sufficient direction and guidance to ground staff during their work. They assign subordinates to complete particular tasks, and instruct them as needed on how to perform tasks and use appropriate techniques or procedures.
Operational Responsibilities:
- Document processing of shipment for Air & sea import, export, and transit
- Cargo acceptance & executing Air Waybill.
- Making Bill of entry and clearing documents through “e-Mirsal I & e-Mirsal II”
- Documentation and executing airline payment through “Calogi”
- Responsible for the custom formalities and documentation for all shipments.
- Coordination with clients and collecting cargo from their premises.
- Negotiating with airlines and shipping lines for freight rates.
- Responsible for overall coordination with airport ground operations and sea port operations.
- Opening Jobs and maintaining online official records of the jobs and ensuring all documents are uploaded in the EFS ERP as per the job number
- Invoicing and closing the Jobs.
- Arranging the dispatch of invoices.
- Maintaining weekly reports such as CDR, DP World, Calogi sheets
- Responsible for space blocking with airlines and shipping lines based on destination, transit time, cost
- Managing and coordinating with drivers to ensure shipments are picked up or delivered on time.
- Coordinating with the airlines and shipping lines and ensuring timely cargo delivery or picked up as per the schedule without delay.
- Handling Air and Sea freight Import & Export operations thoroughly.
- Follow-up on all Logistics coordination with Shipper, Consignee, Agent, and any other stakeholders
- Excellent knowledge in customs clearance, procedures and free zone customs documentation.
- Ensure cargo is received in sound condition and escalate in case any visible damages are found on outer packing
- Ensure appropriate Marking & labeling on Packages and ensuring shipment readiness
- Arranging the right documents as per the local regulations, obtaining Inspection date, Submission of Exit entry documents, New Import Code etc.
- Managing the timely submission and filing of Exit/Entry Certificates and Bill of Entries
- Handling, managing, and hand over of Daily Cash transactions to accounts
- Follow up and manage operations activities independently.
- Arrange transport, documents receipt and delivery of documents from the customer.
- Reply to clients and agents queries and pass on the status of their shipments and related activities on a day to day basis by phone, email, and milestone updates in the ERP
- Coordinate regularly and follow up with various stakeholders for the smooth execution of shipments.
- Report to Senior Management on the daily routine matters of shipping and stock matters
- Responsible for following and implementing HSE policies and procedures in line with TFI Health and Safety guidelines
The role of the DG Coordinator is to supervise and coordinate the transport, acceptance, and handling of dangerous goods shipments, the handling of leakage/spills, incident reporting and to ensure that the TFI’s Dangerous Goods Policies, Procedures and Work Instructions are operationally implemented to full compliance level.
This person will be a freight operations executive and can be at the same time DG Handler. The incumbent needs to be fully trained and certified on IATA Dangerous goods regulations (IATA - Category 6) and all other locally required restricted commodities regulations.
The person must have experience in handling. Re-packing, and executing airfreight DG shipments as per IATA DGR (CAT 6)
Authority:
- Plan, schedule, and delegate pick up and delivery with drivers
- Sign off vouchers of drivers
- Execute the operations jobs and invoice customers
- Arrange bookings with carriers
- Coordinate with carriers on behalf of the company
- Coordinate with customs and any other government departments for approvals of shipments
- Responsible for following, implementing, and executing HSE policies and procedures in line with TFI Health and Safety guidelines
Accountability:
- To ensure all jobs are executed on time as per the customer and agent’s expectations
- Invoices are submitted within 24 hours of shipment completion
- Vouchers are submitted weekly
- All accounts such as DP world, Calogi, and CDR are updated every two days
- Timely submission of Exit/Entry Certificates and Bill of Entries
- Proper filing and record keeping of Exit/Entry certificates and bill of entries
