Responsibilities

Main Duties:

Prospective Parents:

  • Welcome all prospective parents to the School and deal with any initial enquiries
  • Create and send out welcome information packs (if any) to new families prior to joining the school
  • Act as the initial point of contact for parents to ask questions or raise any issues.
  • Encourage parents to undertake regular surveys of new parent views.
  • Manage tours of the school for prospective families and company representatives, liaising with SLT accordingly.
  • Efficient management of inquiries from prospective parents/corporate organizations; making appointments.
  • Deal with parents’ concerns and they are recorded and promptly resolved.
  • Promoting the school to new parents.
  • Assist prospective parents with the application process and necessary forms.
  • Undertake regular surveys of new parent views on enrolment process and other subjects of relevance.


Existing Parents:

  • Maintain open lines of communication with existing parents throughout the year.
  • Send updated notifications from the Leadership Team and teachers via email.
  • Manage the feedback process, acting as the initial point of contact for parents to ask questions or raise any issues. Liaise with the school faculty to resolve these issues and keep an updated record.
  • Share weekly reports with the school Principal on parent feedback and ensure the escalation process and complaints procedure is complied with.
  • Organize parent/community events in order to engage parents in school activities and celebrations and support the school’s parent engagement activities.
  • Work closely with parent bodies such as the Parent Council and Parent Ambassadors.
  • Support and advertise the school’s parent engagement activities.
  • Management and continual development of the school communication channels, such as newsletters, to ensure the school’s parent population is fully aware of the school's activities as a key driver of customer/student retention.
  • Drive the communication process to reduce parent complaints.


Specific duties:

  • Attend all administration meetings, prepare agenda’s and take minutes as necessary
  • Act as the connecting ring of contact between ADEK and the school.
  • Liaise with the school faculty to resolve issues and keep a record of any queries.
  • Manage all enrolment inquiries and assist in resolving possible issues
  • Assist the Admissions team when needed with inquiries and enrolments.
  • Managing and developing the school communication channels.
  • Provide an efficient and friendly service to all parents, visitors, and children.
  • Ensure the escalation process and complaints procedure comply with ADEK and school policy.
  • Organize parent/community events to engage parents in school activities.
  • Work closely with parent bodies such as the Parent Council and Parent Ambassadors.
  • Support and advertise the school’s parent engagement activities.
  • Ensure company policies, procedures, and codes of conduct are followed at all times.
  • Share reports with the school’s SLT on parent feedback and suggestions.
  • Communicating and corresponding to ADEK emails.
  • Drafting and interpreting regulations and dealing with queries and complaints procedures.
  • Using information systems, and preparing reports and statistics for internal and external use.
  • Organizing school events, and working closely with parents in the national and international events.
  • Deal with non-academic school issues that parents or a parent group might raise.
  • Attend school community events and meetings and report on them


Requirements

Minimum Qualifications

  • Bachelor’s Degree


Minimum Experience

Job Specific Knowledge & Skills

  • At least 1 year of experience in a similar role
  • The successful candidate will require use of Microsoft Office, enthusiasm, initiative, flexibility, good interpersonal skills, motivation, resilience, patience, ability to work flexibly as a member of a team and ability to hit the ground running!
  • Applicants must be confident
  • Good literacy skills and an excellent command of both English and Arab
