About the Role:
As a Project Coordinator, you will collaborate closely with Data Engineers, Data Scientists, AI Engineers, Front-End, and Back-End Developers to plan and manage projects across various teams. You will play a key role in supporting the Head of the AI Department in organizing workflows, managing project timelines, and ensuring effective communication between teams to drive successful project outcomes. Your role will be instrumental in bridging the gap between technical teams and project goals, ensuring that each milestone is aligned with broader business objectives.
Since AI and Decision Sciences department runs shared services across entire company for multiple projects, we need a coordinator for scheduling tasks and keeping track who can also function as a spoc. This person will also be responsible for handling business requests from other internal departments like finance and hr on the required documentation. This resource will also be helping managing scrum meetings, retrospectives, jira boards and other project scheduling tasks. This person will also be responsible for presentations creations based on direction for presenting the idea for core departments like Devops, IT, legal and compliance
Responsibilities:
Coordinate with internal and external stakeholders to track project progress and ensure deadlines are met.
Manage and prioritize project tickets, tasks, and timelines using Jira, ensuring smooth execution.
Maintain Confluence pages and ensure documentation is regularly updated and accessible to relevant teams.
Facilitate communication and follow-up between various team Points of Contact (POCs) to resolve issues, gain updates, and ensure project alignment.
Prepare reports on project status, progress, and potential risks for internal and client-facing reviews.
Support the preparation of presentations for clients using PowerPoint, including project updates, outcomes, and future plans.
Monitor Avrioc internal processes, ensuring that all procedures are followed and deliverables align with company standards.
Assist in drafting, managing, and updating project documentation, ensuring accuracy and timeliness.
Coordinate project meetings, capturing key discussion points and action items, and ensuring proper follow-up.
Proactively identify risks, and support in developing mitigation strategies to ensure project success.
Skills and Attributes:
Strong organizational skills with the ability to handle multiple projects simultaneously.
Requirements:
Proficiency with project management tools such as Jira for managing tickets and workflows.
Experience using Confluence for documentation and knowledge management.
Advanced skills in Microsoft PowerPoint and Excel for report generation and presentation creation.
Excellent verbal and written communication skills, with an ability to articulate updates clearly to diverse stakeholders.
Attention to detail in report creation, document management, and following project guidelines.
Ability to collaborate with cross-functional teams and ensure effective communication between departments.
Time management skills to ensure timely project execution, prioritization, and efficient task management.
Experience with client-facing roles, including preparation of presentations and managing communication professionally.
Qualification & Requirements:
3-6 years of experience in project coordination or a similar role.
Bachelor’s degree in a related field such as IT or equivalent.
