Max Piccinini, a leader in Entrepreneur Training and Coaching, is rapidly expanding and aims to achieve ambitious goals. With a growing portfolio of investors, the company is looking for a Real Estate Administrative Assistant to manage investment projects, maintain investor relations, and handle the administrative aspects of these activities.


Your role :


As a Real Estate Administrative Assistant, you will be responsible for supporting investors, managing administrative tasks related to contracts, and meticulously tracking financial transfers and transactions.


Your responsibilities :


  • Respond to investor inquiries regarding ongoing real estate projects and investments.
  • Ensure contracts are sent, signed, and properly filed.
  • Monitor bank transfers and ensure they are completed within the set deadlines.
  • Manage reservations for webinars and events aimed at investors.
  • Serve as the main point of contact between investors and the company, ensuring high-quality client relationships.
  • Work closely with the team and legal departments to handle contract management.


Required profile :


  • Experience: You have at least 3 years of experience in a similar role, ideally as an Executive Assistant, with experience in the financial sector or working with high-end clients.
  • Technical skills: You are proficient in Excel and Google Sheets for tracking transfers and managing financial dashboards. You can manage a calendar and a large volume of administrative tasks with precision.
  • Commercial skills: You know how to follow up with investors firmly and professionally while maintaining excellent relationships.
  • Organization: You are structured, able to manage multiple priorities simultaneously, work under pressure, and consistently meet deadlines.
  • Detail-oriented: You pay close attention to small details that make a difference. Your proactive approach allows you to anticipate investors’ needs and ensure smooth management of all transactions and communications.
  • Telephone skills: You are comfortable on the phone, able to respond quickly and effectively to investor inquiries, handling delicate conversations while maintaining a professional and client-oriented tone, ensuring trust and satisfaction.
  • Interpersonal skills: You present a polished image, have excellent rapport with high-level investors, and respond clearly and quickly to their requests.
  • Languages: You are fluent in both French and English (written and spoken).
