Job Brief:
A well-rounded Receptionist cum Admin is required to ensure smooth front-desk operations and provide essential administrative support. The ideal candidate will be the first point of contact for visitors and staff, managing daily office tasks, coordinating logistics, and maintaining a professional office environment. This role demands strong communication skills, attention to detail, and the ability to multitask in a fast-paced setting.
Job Responsibilities:
- Answer and direct phone calls promptly and professionally.
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Handle incoming and outgoing mail, packages, courier services, and office supplies (stationery, pantry items).
- Schedule and coordinate meetings and events, including booking meeting rooms.
- Maintain organized records and filing systems.
- Greet visitors and guide them to the appropriate department or individual.
- Oversee vehicle management, including allocation, contract renewals, and maintaining related documentation.
- Respond to inquiries via phone and email in a timely and courteous manner.
- Supervise office support staff (office boys, cleaners) to ensure duties are completed effectively and on time.
- Book travel tickets and coordinate staff travel requirements.
Job Requirements:
- Minimum 3 years of experience in a similar receptionist and administrative role.
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Excellent verbal and written communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to maintain confidentiality and handle sensitive information.
- Experience in office vendor coordination and basic facility management is a plus.
- Familiarity with filing systems, record-keeping, and basic logistics.
