Your Tasks

Job Description -Tender Administrator

Contract Administration (Pre‑Approval Scope)

  • Review, validate, and clear contracts, amendments, addenda, and related documents prior to submission for approval and signature.
  • Provide functional guidance and quality control over contract drafting and reviews performed by the Contract Administrator.
  • Draft and negotiate complex or non‑standard contracts when required.
  • Review and refine contractual documents to ensure alignment with approved templates, risk appetite, and governance requirements.
  • Identify legal and commercial risks and ensure appropriate mitigation measures are incorporated prior to approval.
  • Coordinate contract reviews with Legal Counsel, ensure legal comments are addressed, and align final contractual positions.
  • Prepare complete, approval‑ready contract packages and summaries for submission to authorized signatories.

Tendering Support

  • Support tendering and bid processes from a contractual and compliance perspective.
  • Review tender documents to identify contractual risks, commercial issues, and deviations.
  • Prepare and/or review contractual clarifications, deviation schedules, and draft contractual responses.
  • Coordinate Legal Counsel input on tender‑related contract terms when required.
  • Support post‑tender and pre‑award contractual discussions under management direction.

Contract Monitoring, Tracking & Reporting

  • Oversee and validate the contract monitoring register maintained by the Contract Administrator, ensuring accuracy and completeness.
  • Ensure contract expiry tracking is in place and that timely notifications are issued to the execution team to support renewals, extensions, or close‑out actions.
  • Review the status of contracts under processing and highlight delays, bottlenecks, or resourcing constraints.
  • Monitor contract processing lead times (from receipt to signature) and escalate trends or risks when required.
  • Review and approve contract dashboards and reports prior to circulation.
  • Provide verified contract data to the execution team upon request, including:
    • Number of active contracts
    • Status of contracts under processing
    • Upcoming contract expiries
    • Contract throughput and lead‑time information
Documentation & Contract Control

  • Ensure contracts submitted for signature are complete, accurate, and approval‑ready.
  • Oversee the compilation, indexing, and archiving fully executed contracts.
  • Ensure finalized contracts are circulated to relevant internal stakeholders.
  • Maintain accountability for document control discipline and compliance standards, without performing routine filing activities.

Your Qualifications And Skills

  • Bachelor’s degree in Engineering or Law or a strong legal background.
  • 5+ years of experience in contract administration, drafting, and negotiation.
  • Experience in the Middle East, with familiarity with regional contracting practices.
  • Experience coordinating with in‑house or external Legal Counsel.
  • Strong understanding of contractual governance, approval workflows, and risk management.
