The Role
The Administration Assistant provides administrative and operational support to ensure smooth business processes. This role typically involves handling documentation, coordinating with internal teams and external stakeholders,
What You’ll Be Doing
- Raise local and inter-company purchase orders and manage office purchasing requirements, including arranging local deliveries and coordinating with drivers for transport-related needs.
- Handle suppliers’ delivery notes and purchase orders.
- Collate all invoice documentation for client accounts, send purchase invoices to Accounts Payable, and assist with payable queries.
- Prepare receipt vouchers and arrange cheque collection.
- Produce delivery documentation such as delivery notes, certificates, and gate pass requests.
- Prepare all required shipping documentation including commercial invoices, packing lists, and certificates of origin.
- Arrange flight and hotel reservations.
- Manage employee work visa applications and renewals.
- Coordinate with the PRO for company license and certification renewals.
- Conduct site safety inductions.
- Coordinate with the facilities team for maintenance and repair work.
- Assist the Operations Manager in contractor evaluation.
- Experience in administration/operations management or related field
- Knowledge of business processes and operations
