Role Overview

As part of our strategic centralization of administrative services across the Group, we are seeking an Administrative Supervisor to support and elevate our growing HR function. Reporting directly to the Group HR Manager, this role will lead and supervise the administrative team across all divisions, ensuring consistent standards, efficient workflows, and smooth delivery of HR and administrative processes. This position is suited to someone who is confident in leading others, highly organized, and well-versed in UAE HR and admin operations—including payroll support, visa processing, employee documentation, contract management, and general labour relations. This is a key role within Group HR and an exciting opportunity for someone ready to take on broader leadership responsibilities.

 

Key Responsibilities:

Leadership & Team Coordination

  • Supervise and guide the administrative team across multiple business units.
  • Allocate and monitor daily tasks, ensuring consistent service quality and timely completion.
  • Conduct regular check-ins, support development, and participate in performance evaluations.
  • Maintain team morale, a positive work ethic, and alignment with HEG service standards.

Administrative Functions

  • Support with preparation, processing, and organization of HR documents (contracts, letters, onboarding files, etc.).
  • Coordinate visa processing, renewals, medicals, and government formalities.
  • Assist with payroll preparation by consolidating monthly data and ensuring accuracy.
  • Maintain attendance, leave, and employee record updates in internal systems.
  • Ensure confidentiality, organization, and accuracy of all employee files.

Process Improvement & Standardization

  • Maintain and improve administrative procedures across the Group.
  • Implement KPIs and service standards for admin outputs.
  • Support cross-division collaboration and efficient resource allocation, especially during seasonal changes.
  • Recommend workflow enhancements and participate in broader HR projects.

Skills & Experience Required

  • Minimum 2 years of experience in a senior administrative or HR administrative role.
  • Strong understanding of UAE labour law, visa processes, government platforms, and HR documentation.
  • Experience coordinating payroll data, employee files, and HR systems.
  • Demonstrated ability to lead or supervise a small team.
  • Excellent organizational, planning, and communication skills.
  • High attention to detail, professionalism, and discretion.
  • Ability to work in a fast-paced, operationally diverse environment.
