The Automotive Warranty Administrator is responsible for managing all aspects of the warranty process, ensuring compliance with manufacturer guidelines, processing warranty claims, and maintaining accurate records. This role is critical in ensuring that warranty-related procedures are followed correctly to provide the best customer service and maintain financial integrity.

The Automotive Warranty Administrator is responsible for managing all aspects of the warranty process, ensuring compliance with manufacturer guidelines, processing warranty claims, and maintaining accurate records. This role is critical in ensuring that warranty-related procedures are followed correctly to provide the best customer service and maintain financial integrity.
Key Responsibilities
- Process Warranty Claims: Submit and track warranty claims for parts and labor in accordance with manufacturer requirements.
- Ensure Compliance: Ensure that all warranty processes and claims are in compliance with company policies and manufacturer guidelines.
- Maintain Records: Keep accurate and up-to-date records of warranty claims, approvals, and rejections.
- Work with Service Department: Coordinate with service advisors, technicians, and the parts department to gather necessary documentation for warranty claims.
- Customer Service: Communicate with customers regarding the status of their warranty claims, including approval, rejection, or additional information needed.
- Report and Analyze: Generate regular reports on warranty claims for management, identifying trends, and highlighting any issues or discrepancies.
- Claim Reconciliation: Ensure that claims are paid and reconcile discrepancies between the dealership and the manufacturer.
- Follow Up: Follow up on pending claims and track the resolution of all outstanding warranty issues.
- Education: High school diploma or equivalent; additional qualifications in automotive service or warranty administration are a plus.
- Experience: 2–3 years of experience in a warranty administration or automotive service role.
- Knowledge: Strong understanding of automotive systems and warranty procedures.
- Skills: Excellent organizational and time management skills; attention to detail; strong communication skills.
- Software: Familiarity with dealership management systems (DMS) and warranty claim software.
- Other: Strong problem-solving ability and customer service orientation.
