Job Description

Job Purpose

The role of the Document Controller is to maintain project documents. The purpose of the role is to ensure accuracy of all information, including technical documents, and distribute this information to the people who need it , e.g. Architects, Engineers, Designers etc. in a timely manner. They are responsible for storage of both hard and soft copies and following document control procedures.

Operational Responsibility

  • Coordinate the receipt, distribution and tracking of design drawings and documents in order to facilitate the smooth running of projects in compliance with project procedures.
  • Maintain and archive hard copies, as well as soft copies of all drawings in order to comply with KPS standards on project documentation.
  • Track Design Change Requests (DCR), Confirmation of Verbal Instruction (CVI), and Requests for Information (RFI) and “As Built” drawings in order to ensure all such requests are resolved
  • Review documentation ensuring that it meets quality standards and requirements
  • Send and receive documentation as per specifications in a timely manner
  • Maintain databases, ensuring that all documents are stored correctly, and in line with the Confidentiality policy at KPS.
  • Maintain all documentation in line with ISO standards to ensure compliance with quality standards and integrated management system.

Person Specifications (Essential)

  • Associate Degree or Diploma Qualifications (2 years training program) in IT management, Construction Management or relevant subject
  • 4+ years experience
  • Demonstrated Planning and Organisation skills
  • Demonstrated Attention to details and quality
  • Demonstrated Communication Skills, both written and oral.
  • Demonstrated working knowledge of Software and storage applications
  • Demonstrated problem solving skills

Person Specification (Desirable)Knowledge of ISO standards and integrated managment systems.
