Your future role

You'll play a vital role in ensuring the seamless management and control of all project documentation, supporting the successful delivery of railway infrastructure projects. Day-to-day, you’ll work closely with teams across the business (engineers, contractors, consultants), coordinate timely submission and approval of documents, and maintain up-to-date document logs, and much more.
We’ll look to you for:
- Setting up and maintaining document control systems for the railway project.
- Receiving, logging, tracking, and distributing incoming and outgoing documents (e.g., drawings, reports, specifications).
- Ensuring all documentation complies with project standards and naming conventions.
- Maintaining up-to-date drawing registers and document logs.
- Coordinating with engineers, contractors, and consultants to ensure timely submission and approval of documents.
- Managing document transmittals and ensuring proper archiving of project records.
- Supporting project close-out by compiling final documentation packages.
- Conducting periodic audits to ensure compliance with document control procedures.
- Liaising with internal and external stakeholders to resolve document-related issues.
- Using Electronic Document Management Systems (EDMS) such as ProjectWise & Aconex.

- Degree in Business Administration, Engineering, or a related field.
- Experience or understanding of document control processes, preferably within railway or infrastructure projects.
- Knowledge of Electronic Document Management Systems (EDMS) such as ProjectWise, Aconex.
- Familiarity with ISO 9001 quality standards and document control best practices.
- Strong organizational and communication skills.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with BIM and digital engineering environments.
- Understanding of railway project lifecycle and regulatory requirements.
- Knowledge of CAD file handling and technical drawing formats.
