Job Title: Executive Administrative Assistant (Immigration Background Preferred)

We are looking for a responsible Administrative Assistant having Knowledge and Experience in Express Entry and Canadian Immigration. Must have a strong understanding of the administrative aspects of Canadian immigration law and the ability to multi-task in a fast paced, dynamic environment. The candidate must be extremely attentive to detail and possess superior communication skills, both verbal and written and a motivated self-starter with a sense of urgency and excellent client management skills. The desirable candidate must care about client satisfaction, efficiency and upholding the values of the firm.

Responsibilities

Understand a variety of immigration processing categories and requirements for each category

Assist with work permit, visa and other immigration applications for review by office lawyers.

Assess client’s backgrounds and situations and provide them with the suitable programs and other immigration advice.

Exceptional research skills

Knowledge of visas, work permits, admissibility issues and IRCC (Immigration and Citizenship Canada) web site.

Client and file management

Be able to independently complete PNP (Provincial Nominee Programs) and family sponsorship application.

File the documents and inform updated immigration information and regulations to the team and marketing department.

Assist clients in preparing supporting documents

Process immigration application, fill out application forms, collect and prepare documents in support of the application package.

Ensure the completion and accuracy of all required documents

Manage client’s files and maintain client’s files up to date

Verify, submit, monitor, track and report on all filed applications.

Notify clients of upcoming extensions, and changes in processes or procedures.

Admin Assistant Skills And Qualifications

Excellent verbal and written communication skills with the ability to communicate to a diverse audience

Advanced internet and online database search skills

Strong writing, composition and editing skills, with speed and accuracy

Strong computer proficiency in the use of all Microsoft applications, including, but not limited to Word, Excel, PowerPoint, Outlook.

Experience facilitating reference interviews

Organizational skills as demonstrated by the ability to balance many competing priorities and setting and attaining goals

Experience with document management systems, and database software.

ability to handle tasks with discretion and confidentiality

Must be able to work to tight deadlines even when under pressure, whilst still being able to provide a high level of customer service.

Must have strong communication and negotiation skills as the job is centered on communication with the client, colleagues and authorities.

Must have experience in Canadian Immigration procedures and express entry.
