About the Role:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. This role requires a professional who excels in a fast-paced environment, managing a variety of administrative tasks with discretion and attention to detail. The Executive Assistant will be responsible for coordinating high-profile meetings, events, and travel arrangements with C-level executives, government officials, and other key stakeholders. The ideal candidate will have exceptional communication skills, a strong ability to prioritize, and experience handling confidential information.
Key Responsibilities:
Event Coordination:
Plan, coordinate, and execute events, meetings, and conferences involving C-level executives, government officials, and high-profile external stakeholders. Ensure all logistics, including venue selection, catering, technology, and security, are in place for a seamless experience.
Meeting & Agenda Management:
Schedule and manage appointments, meetings, and engagements with senior executives, government officials, and other stakeholders. Ensure accurate agendas, briefing documents, and materials are prepared and distributed in a timely manner.
Travel Coordination:
Arrange complex domestic and international travel for executives, including flights, hotels, transportation, and itineraries. Ensure travel plans are cost-effective and align with the executive's preferences and business needs. Provide real-time support for any travel changes or disruptions.
Communication Management:
Serve as the first point of contact between the executive team and external parties, including government representatives and industry leaders. Manage incoming and outgoing correspondence, ensuring timely responses to key contacts.
Confidentiality and Discretion:
Handle sensitive and confidential information with the highest degree of professionalism and discretion, ensuring that executive communication and documentation remain secure.
Administrative Support:
Manage daily administrative tasks, such as expense reporting, calendar management, and preparing presentations or documents for executive meetings. Provide support during executive meetings as required, including taking minutes and following up on action items.
Special Projects:
Assist with or lead special projects as required by the executive team, particularly those involving strategic partnerships with governmental bodies and external organizations

Demonstrable experience as an Executive Assistant, preferably supporting C-level executives. Experience working with government officials or in highly regulated industries is a plus.
Education:
Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Skills and Competencies:
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
High level of professionalism and discretion.
Ability to manage complex travel arrangements and calendars.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work in a fast-paced environment and handle high-pressure situations.
Experience coordinating high-profile events and managing VIP relationships.
