An Executive Assistant at Fujifilm plays a vital role in providing high-level administrative support to executives, senior leadership, or management teams within an organization. This role typically involves handling a variety of operational, organizational, and executive support tasks, enabling executives to focus on strategic priorities. The ideal candidate will possess exceptional organizational skills, attention to detail, discretion, and the ability to manage competing priorities in a fast-paced and dynamic environment

Key Responsibilities

Administrative Support

  • Streamline and manage executives' schedules, calendars, and appointments to maximize time efficiency.
  • Coordinate meetings, conferences, and comprehensive travel arrangements, including visa applications, flight bookings, accommodations, and transportation for the MD
  • Prepare meeting agendas, record accurate minutes, and ensure timely follow-up on action items.

Communication & Correspondence

  • Serve as the primary point of contact for internal and external stakeholders, effectively screening calls, emails, and correspondence.
  • Draft, edit, proofread, and format professional documents, reports, and presentations on behalf of executives.
  • Handle sensitive and confidential information with a high level of professionalism and discretion.

Project Management

  • Assist in planning, coordinating, and executing special projects and organizational initiatives under executive guidance.
  • Monitor project timelines, track progress, and ensure deliverables are completed within established deadlines.

Relationship Management

  • Foster and maintain strong professional relationships with internal teams and external stakeholders.
  • Provide support for hosting and coordination of business meetings, client visits, and VIP events, ensuring a polished execution.

Qualifications & Experience

  • Bachelor’s degree in business administration or a related field.
  • 3 years of experience in a similar role, preferably in a global matrixed organization
  • Able to pay attention to Detail
  • Able to multi-task and manage numerous deliverables effectively
  • High sense of Urgency
