As part of our operational expansion, we are seeking a proactive and detail-oriented Front Office Administrator to manage the front desk and administrative support functions of our Dubai office. This is a fully onsite position, suitable for candidates who are self-motivated, tech-savvy, and comfortable working in a fast-paced, cross-border environment.

The Front Office Administrator will serve as the Physical face of DB Investing’s Dubai office—handling client communications, managing administrative tasks, and coordinating internal workflows. The role involves close interaction with operations, compliance, HR, and executive teams, and requires a high level of professionalism, discretion, and organizational efficiency.

Position Overview
The Front Office Administrator will serve as the Physical face of DB Investing’s Dubai office—handling client communications, managing administrative tasks, and coordinating internal workflows. The role involves close interaction with operations, compliance, HR, and executive teams, and requires a high level of professionalism, discretion, and organizational efficiency.
Key Responsibilities
Client Interaction & Communication
- Act as the first point of contact for incoming client inquiries via email, live chat, and phone
- Handle all communication with courtesy, professionalism, and customer-first focus
- Redirect queries to relevant internal departments (sales, compliance, support) and ensure timely follow-up
- Schedule virtual meetings and calls for the Dubai-based executive team
- Maintain a professional and welcoming virtual presence in all external interactions
- Maintain organized digital records of any administrative documents using internal cloud systems (Google Drive, CRM, etc.)
- Draft and send appointment confirmations, follow-up communications, and internal reminders
- Support the preparation of internal reports and basic correspondence for management (Attendance, Inventory, etc)
- Ensure accuracy and timeliness in all data entry and administrative processes
- Liaise with Dubai office departments to align on daily workflows, document handling, and operational protocols
- Assist HR with onboarding admin support including scheduling introductions and compiling welcome materials
- Track action items and outstanding documentation across teams and follow up as needed
- Support remote setup and hosting of webinars, internal meetings, and trainings
- Maintain confidentiality of sensitive information related to clients and internal operations
- Perform routine data quality checks and flag inconsistencies for resolution
- Assist in generating activity logs and administrative reports as requested
- Assist the compliance team with administrative preparation for audits and regulatory submissions
- Ensure all digital documentation is handled in accordance with privacy policies and data protection laws
- Handle confidential information—such as executive calendars, client KYC files, and internal reports—with the highest level of discretion
- Minimum 2 years of experience in front desk, office administration, or client services
- Strong English communication skills (spoken and written); Arabic is a plus
- Proficiency in tools such as Google Workspace, Microsoft Office, CRM systems, Zoom, Slack
- Exceptional organizational skills with the ability to multitask and prioritize
- Experience working in an office setup or is preferred
- Availability during UAE working hours (Monday to Friday)
