We are looking to recruit an experienced Operations Coordinator to join our team based in Dubai, UAE. In this role, you will be responsible for the effective execution of daily project-specific operational activities, with a core focus on managing project crew line-up/crew changes and project-related permitting. This role ensures the seamless movement of personnel by coordinating with vessel agencies and internal departments to arrange and validate all required documentation—including visas, security passes, and offshore certifications—in strict compliance with country-specific and client-specific regulations.
By maintaining operational readiness and supporting project timelines, the Coordinator plays a critical role in ensuring the success of field operations and overall project delivery.

We are looking to recruit an experienced Operations Coordinator to join our team based in Dubai, UAE. In this role, you will be responsible for the effective execution of daily project-specific operational activities, with a core focus on managing project crew line-up/crew changes and project-related permitting. This role ensures the seamless movement of personnel by coordinating with vessel agencies and internal departments to arrange and validate all required documentation—including visas, security passes, and offshore certifications—in strict compliance with country-specific and client-specific regulations.
By maintaining operational readiness and supporting project timelines, the Coordinator plays a critical role in ensuring the success of field operations and overall project delivery.
Key Responsibilities
- Coordinate and manage all project-related permitting requirements in close collaboration with the vessel agency, ensuring full compliance with country-specific visa, immigration, and security protocols. Maintain the accuracy and validity of essential documentation—including visas, security passes, and offshore compliance certifications—throughout the project duration.
- Maintain exceptional attention to detail in all aspects of documentation, scheduling, and coordination to ensure accuracy, compliance, and operational efficiency.
- Support the Supervisor and project team in facilitating client communications related to crew CV approvals and project-specific documentation.
- Collaborate with the Procurement team and Project Manager to appoint vessel agencies. Maintain ongoing communication with agents to facilitate vessel inward/outward clearances and provide logistical support.
- Provide continuous operational support to Project Managers throughout the project lifecycle, ensuring all logistical and personnel-related needs are met.
- Proactively coordinate travel and logistical arrangements—including flights and accommodations—for project personnel, ensuring cost-effective and timely execution.
- Ensure proposed project personnel are fully offshore compliant by coordinating with the crewing team to verify certifications and readiness.
- Provide responsive out-of-office hours support when required to address urgent operational needs and maintain project continuity.
- Support Supervisor & crewing team in maintaining record of personnel Client approvals for projects.
- Update and maintain the Personnel and Job-wise Deployment Sheet (PDS) to reflect accurate personnel utilization and deployment across assigned projects.
- Follow up with HR to obtain and verify updated personnel documentation (as appropriate ).
- Actively contribute to the company’s Quality Management System by adhering to and promoting best practices in quality and HSE standards.
- The Employee shall also be responsible for any other such tasks and duties as shall be assigned to the Employee from time to time.
- Bachelor’s degree in Administration, Engineering or a related field.
- Minimum of 3-5 years of experience in operations or project coordination
- Strong in Excel and Office 365; Power BI knowledge is an advantage.
- Proficiency in relevant software and tools used in project coordination.
- Work experience in a shipping industry is highly desired.
- Good communication and presentation skills.
