As a Senior Document Management Assistant you will maintain the dnata Airport Operations (AO) library of external documents and procedures manuals, by liaising with the customer airlines, Dubai Airports (DA) and IATA publications. Ensure all document updates and revisions are efficiently and promptly uploaded on the Share Point and the relevant teams advised of the updates.

As a Senior Document Management Assistant you will maintain the dnata Airport Operations (AO) library of external documents and procedures manuals, by liaising with the customer airlines, Dubai Airports (DA) and IATA publications. Ensure all document updates and revisions are efficiently and promptly uploaded on the Share Point and the relevant teams advised of the updates.
In This Role You Will
- Coordinate the receipt and distribution of operational manuals of customer airlines and Dubai airports as well as IATA publications across the airport operations business units, to ensure documentation is current and compliant with airlines, DA and IATA regulations and requirements.
- Update all manuals, procedures and documentation received from the customer airlines and external agencies (including DA) and regularly verify that the existing manuals are the most current and that outdated documents are removed.
- Verify that the amendments are applicable to dnata airport operations and are free of discrepancies, using thorough understanding of operation conducted at DWC and DXB. Ensure that updates are bar coded with a 'Red Notice' and sent to the relevant department and that an accurate distribution record document is maintained at all times.
- Confirm with relevant departments within airport operations that changes to the airline manuals are revised and workable. The role holder is responsible to communicate back to the airline any ambiguities identified by the line and follow up on the same.
- Maintain the Operations Department Share Point site by ensuring all staff has access to relevant folders and documents. Ensures all communications issued through the Share Point are in accordance with Corporate Communications' regulations.
- Coordinate on behalf of dnata AO, departmental requests for IATA manuals and ensures that they are distributed to the departments before its expiry and within the agreed time frame.
- Responsible for ensuring that all manuals available in every business area are registered in the Quality Assurance Document register and that the register is updated whenever there are changes, as required in the Integrated Management Systems procedure.
- Maintain the departments' stationery requests including (Dispatch cards, Fuel Dockets, A4 paper, Tonners and Cartridges), in coordination with the stores, to ensure that sufficient/required stock is maintained in the different business areas with the aim of minimizing wastage.
To be considered for the role, you must meet the below requirements:
- Experience in a customer service environment, preferably with a ground handling agent or an airline, at a major international airport.
- Excellent communications and presentation skills.
- Proficient in MS-Word, Excel, Windows, MS Outlook and Acrobat 9 Professional
